We are looking for an Executive Assisant for our location in Timisoara, in order to support our management team in different activities and be a key team-player for various administrative activities. We are searching for a highly proactive, passionate person to guide us for the best solutions regarding day-to-day issues.
Responsibilities:
- Organize meetings, workshops, business partner visits, trainings, team buildings and other events in order to ensure the smooth running of the events from administrative point of view;
- Coordinate and control the business trips process in order to assure good results for the department members and for the Finance department;
- Organize and keep up to date the country head calendar, schedules meetings and conference calls with clients, business partners and internal personnel;
- Create / delete user (e.g. team members) accounts, updates corporate phone book entries;
- Act as contact person and maintain good relationships with various external companies on behalf of the department in order to provide good services for the department members;
- Update information related to infrastructure/ network issues, company rules, policies, procedures and informs employees about the changes. Supports the HoD/ GL/ TL in tracking and facilitating the compliance with regulations;
- Organize different requests, centralize, track, sends/ receives feedback regarding various reports about personnel of the department to/from Corporate Functions (e.g. HR, Finance) in order to assure the good flow of information;
- Check the monthly reports to be filled in by all employees, issue final reports from Recording Hours application and submits them to the HoD, Finance and HR department;
- Prepare and submit the necessary documents to the Finance and Purchasing department to ensure that requested products (e.g. office materials, PCs and telephones);
- Contribute to the integration process of the new employees and foreign delegates in the department in order to smooths their integration period;
- Act as local training responsible by performing training need analysis, organizing local trainings, reporting training feedback and keeping the contact with local trainers.
What will you need to succeed:
- University degree in Business Administration or similar;
- 3+ years of relevant work experience;
- 2+ years previous experience in multinational companies;
- Advanced English language skills;
- Advanced MS Office Package knowledge.
